Client Guidelines
Design
- We ask our clients to be as specific as possible when described the desired look of their future website. We encourage you to provide links to websites that match the direction of your website.
- Design is not an exact science so we realize that we may not get the design right the first time, but through refinement we will get the best design we can. We are also willing to completely change direction once during the design process. However, complete design changes after the first time will increase the cost of your website.
- We desire the right design for your website, so if a client is suggesting something that will take away from the total design, we will let them know! However, it is up to the client to make final decisions, so we will comply with any requests.
Communication
- We make it a top priority to be available to our clients. While in the design process, however, we do ask that all corrections and changes to design work while mid-project are submitted via email. It is much more efficient to have all your requests in one place (our inbox) while we are working on your website. This way we can easily review all your requests while we are working on them to ensure everything is done to your specifications.
- Additionally, feel free to print out design work and write or draw your changes to assist us in the design process. These can be scanned and set over via email or sent by US mail.
Pricing & Payment
- All pricing quoted at the beginning of a project are estimates. Final pricing will be given upon the completion of you website.
- The client will be notified of any work that will increase the final cost of the website.
- Ideation requires 50% of the quoted balance to begin a project. The remainder will be due upon completion.
- The payment is required in full before the website will be transferred to your server.
Approval of Work
- We will set deadlines for the project for both sides. We will strive to meet our deadlines agreed upon and expect that you do the same. We will give you a deadline for mock-up, mock-up review, content submission and final approval. This is to make sure we finish the project in the intended amount of time.
- Client will be notified when the project is complete from the designer’s viewpoint.
- Client approval/disapproval is required within 7 days of project completion.
- If we do not receive feedback within 14 days of completion, the project will be considered complete and final payment will be due.

Website Copy
- All website copy (text that will be on your website) must be provided in final, electronic form (MS Word format) as soon as possible.
- All spelling, grammar and punctuation is the client's responsibility.
- Any copy provided in handwritten or printed format will be retyped for the website at an additional cost for anything over 300 words per page.
- If you are not comfortable writing text for the website, please provide a content outline and we will write your content at an additional hourly fee ($50.00 per hour).
Logos
- If your company has a logo, it must be provided on CD or via email in vector format (.eps, .pdf, or .ai)
- The only acceptable raster formats are layer Photoshop / Fireworks files (.psd, .png) at 300DPI or higher and in some cases PNG files with transparency at 300DPI or higher.
- If you only have a physical copy of your logo such as a brochure or business card we will do our best to redraw your logo in vector format at an additional cost.
Company Colors
- If your company has specific company colors we will need the Pantone numbers for those colors. Please note, that matching Pantone colors does increase the cost of printed materials.
Images
- If client already has images for use on the website then those images must be provided on a CD or via email.
- If there are no professional quality images available, we will be glad to take photography at an additional hourly or package rate. More on photography below.
- The client will be notified of any supplied photographs that do not meet our design standards.
- Stock photography may be added to general content to improve presentation. In most cases, this is included in general pricing up to 5 pictures. There may be an additional charge if the same images are needed for print as a higher resolution version is required.
- Ideation will handle minor editing such as resizing, cropping, and general color balancing. Any major editing and corrections will be billed.
Video
- Video must be submitted on CD or DVD only.
- If the video is not in a compressed, web-ready format, there will be an additional charge for conversion. This included video clips being taken from a DVD.
- It is the clients responsibility to ensure that they have the rights to the video
Photography
- Ideation is able to provide photography for on-location and event shooting.
- General editing is included in the cost of photography (cropping, color balancing etc). Major editing requested by client will be billed.
- The client will be provided with a CD of all final edited shots.
